Privacy Policy

This policy explains what information the RAGBRAI Portal collects, how it's used, who can see it, and how to delete it. It covers the website at ragbraiportal.com and the RAGBRAI Portal apps for iPhone and Android. "RAGBRAI", "we" and "us" mean the organizers of RAGBRAI (the Register's Annual Great Bicycle Ride Across Iowa), who run the portal.

Who the portal is for

The portal is a planning tool for RAGBRAI staff and the volunteers in each year's host towns. Accounts are by invitation: RAGBRAI staff or a town's portal administrator invite each person, or approve their request to join.

What we collect

Information about you

• Your name and email address.
• Your password. It's stored scrambled (hashed), so nobody at RAGBRAI can read it.
• Your phone number, if you or your town administrator add it.
• Your profile photo, if you upload one.
• Your town, committees and role, and your time zone and notification settings.
• Two-factor sign-in details, if you turn it on.

What you add to the portal

Forum threads and replies, task notes and completions, documents and folders, meeting agendas and recaps, Project Board cards and comments, and anything else you post or upload.

Feedback and reports

When you send feedback or report a post from the app, we receive your email address, your message, your app version and basic device details (such as the device model and operating system version), plus a screenshot if you attach one.

How you use the portal

We record which pages and app screens are used, the app version, device type, operating system and browser, a random identifier the app or browser creates to tell visits apart, and a shortened version of your IP address that can't pinpoint where you are. We keep this on our own servers to see which features people use and to fix problems. We don't use advertising or third-party tracking tools.

Your devices

If you allow notifications, we store a notification token from your phone so we can send you alerts. The website uses cookies to keep you signed in and to count visits. Block lists you create in the app are stored only on your phone.

How we use it

• To run the portal: sign you in, show you your town's tasks, meetings, documents and forum, and let you work with other volunteers and staff.
• To send you invitations, password resets, meeting agendas and recaps, and the notifications you choose.
• To review reports and keep the forum safe.
• To answer your questions, fix problems, and improve the portal.

We don't sell your information or use it for advertising.

Who can see your information

• Other portal members see your name, photo and town alongside what you post. Who sees a forum thread depends on the visibility chosen when it's posted, for example your town only or every host town.
• Your town's portal administrators see your town's member list, including contact details, so they can manage the town.
• RAGBRAI staff can see everything in the portal so they can coordinate the ride and handle reports.

Services we use

We use a few service providers to host the portal and store files in the United States, send email and notifications, report errors, show profile pictures, edit shared documents, host town forms and show maps. They handle information only to provide their service to the portal.

We may also share information if the law requires it, or to protect the safety of riders, volunteers or the public.

How long we keep it, and deleting your account

• Delete your account in the app under Profile → Delete account, or email us at ragbraiportal@gmail.com and we'll do it for you.
• Deleting signs you out on every device and turns off your access straight away.
• 30 days later, your name, email address, password, photo and phone number are erased for good. Until then, we can restore your account if you contact us.
• Forum posts and planning records you added stay, shown as written by "Deleted user", because they're part of the town's planning record.
• Invitations that nobody accepts are removed after three months.
• Our database backups are kept for seven days.

Otherwise we keep your information while you have an account and for as long as it's needed to plan RAGBRAI.

Your choices

• Change your name, email, photo, password and two-factor sign-in on your profile.
• Choose which notifications you get in notification settings, or turn them off in your phone's settings.
• Block another member in the app to hide their posts from you.
• Email us to get a copy of your information, correct it, or delete it.

Security

The portal is only available over encrypted connections, passwords are stored hashed, and you can turn on two-factor sign-in. No system is perfectly secure, so please use a password you don't use anywhere else.

Children

The portal is for adult volunteers and staff. We don't knowingly collect information from children under 13. If you believe a child has an account, email us and we'll delete it.

Changes to this policy

When we change this policy we'll update the date at the top of this page. If a change matters, we'll tell you in the portal or by email.
